Location: All IAPS staff work primarily remotely, but as the activities will be in the DC area the candidate must be based in Washington, DC or the greater DC metropolitan area. This is non-negotiable. The candidate needs to already have a pre-existing right to work in the United States, as we will not be able to sponsor visas for this role.
Salary: $50,000 – $85,000 (pre-tax) per year prorated to the number of hours worked and the duration of contract.
Employment Type and Duration: Temporary employment for 3-6 months with the possibility of extension or conversion into a permanent role.
Hours: 20-40 hours/week.

About the role
The goal of the role is to support IAPS’ growing operations in Washington, DC. Daily responsibilities will include:
Operational support for events such as roundtables, happy hours, expert talks and Q&As, or staff retreats. This could include booking venues, managing contractors or vendors, tracking budgets, and managing invites.
Competitive candidates will also play an active role in shaping the format and structure of IAPS’ public and private events, including independently delivering on event agenda, comms strategy, and correspondence with high-level participants.
Support external engagement through maintenance of trackers, preparation for meetings, etc.
Program support for the IAPS AI Policy Fellowship including tasks such as testing hiring materials, screening candidates, onboarding fellows, and planning introductory and educational activities.
Note: purely operational tasks such as managing hiring software or onboarding to our technical systems, will be covered by our operational team.
Competitive candidates will likely have:
Prior experience in policy-focused organizations, ideally in tech policy or national security.
Organizational and project management abilities, including experience with drafting and tracking event invitations, budget tracking, and vendor coordination.
The ability to plan both public and private events ranging in size from 10-120 people, including in short timeframes.
Written and verbal communication skills for interacting with senior government and industry leaders, fellowship candidates, and staff.
Strong attention to detail and a keen understanding of protocol, etiquette, and formal procedures (e.g., honorifics, salutations, event invitations), along with experience navigating professional dynamics in DC.

The Coordinator will be primarily managed by Jenny Marron, and will also work closely with Renan Araujo. The Coordinator will be supported by a team with strong knowledge of relevant stakeholders and intended outcomes, previous event plans and processes, and will have weekly 1-1 meetings and availability from your manager for fast approvals and responses to questions. This opportunity will provide you with hands-on experience in the AI policy field, alongside professional development time and a chance to grow your program coordination skills.
